Email Alerts Quota (Purchase • Send • Track)

MyClubtap

Last Update a year ago

Keep members engaged with automated and on‑demand emails. All sends draw from your pre‑paid Email Quota.

Pre-paid email credits used by all alerts (automated + on-demand). Counters at the top show Quota Available, Emails Sent, and Quota Left.

1. PURCHASE (top-up credits)
  • In the admin portal, go to Email Alerts → Purchase.
  • Review the quota pack shown (Email Quota of 5000 for $12 AUD).
  • Click Pay and complete checkout.
  • After payment, the Transaction table lists the purchase. Click Download to get the invoice.
  • Your Quota Available/Left tiles update immediately.

Notes: Quota can be topped up anytime and is non-refundable. It enables automated game updates and member emails, and usage is tracked for you.

2. SEND (what consumes credits)

The following sends draw from your quota (1 credit ≈ 1 email to 1 recipient):

  1. Fantasy Round Reminder (auto, scheduled by “hours before round start”).
  2. Fantasy Round Results & Reminder (auto, scheduled by “hours after round end”).
  3. Top 10 Managers (Overall) (on-demand → Send Now).
  4. Top 10 Players (Overall) (on-demand → Send Now).
  5. Announce Final Result (on-demand → Send Now).
  6. Email Members (ad-hoc message → pick recipients, send now or schedule).

Tip: If you plan a large send (e.g., season-end), check Quota Left first and top up if needed so nothing is blocked.

E) Announce Final Result

  • When the season is complete, click Send Now.
  • Confirm if prompted. (One-off.)

F) Email Members

What it does:

  • Ad-hoc message to selected members (or all) with your custom text. Useful for announcements, housekeeping, or sponsor messages.

How to set up (Admin):

  • Email Alerts → expand Email Members.
  • Choose Select Members (e.g., all members or specific recipients).
  • Enter your text in Add Message and Save Message.
  • In the Send section, choose Send Date/Time (if scheduling) or leave blank to send immediately.
  • Click Send.

3. TRACK (see what was sent)

What this page shows:

  • Quota Available (blue): your current email credits balance.
  • Emails Sent (green): total emails already sent from this league/game.
  • Quota Left (orange): remaining balance after sends.
  • Per-alert rows: each line shows how many emails that alert type has sent so far (e.g., Top 10 Players (Overall) – 56, Email Members – 4).
  • Sanity check: the per-alert counts should add up to Emails Sent.

How to use it:

  • Go to Email Alerts → Track.
  • Check the three tiles to confirm you have enough Quota Left for upcoming sends.
  • Scan the per-alert rows to see where emails have been used (e.g., large spikes from Top 10 or a Member blast).
  • Click the ▸ caret on any row to expand its history/log (recent sends for that alert type).
  • If you’re low on quota, navigate to Email Alerts → Purchase to top up before the next scheduled send.

Reading example in screenshot:

  • Emails Sent = 60 (56 from Top 10 Players (Overall) + 4 from Email Members).
  • Quota Available/Left = 4940, which matches a 5000 pack minus 60 emails sent.
